Description
This position provides assistance and administrative support to the mayor. The class is responsible for coordinating and assisting with Mayor's Office. The position will require assistance with daily tasks, ranging from logistical coordination to administrative assignments. The ideal candidate will have experience with handling confidential materials and situations with discretion, tact, and diplomacy.
The work is considered sedentary and involves walking or standing some of the time and involves exerting up to 10 pounds of force on a recurring basis, and routine keyboard operations. The work requires the following physical abilities to perform the essential job functions: fingering, hearing, mental acuity, speaking, talking, and visual acuity.
Work environment involves exposure to no known environmental hazards; and is relatively safe, secure and stable.
Essential Job Functions
* Work directly with senior leadership, including the Chief of Staff, to provide operational and logistical support for external meetings and events;
* Assists in planning and coordinating meetings, publicity programs and special events. Travels with the mayor to meeting, events, conferences, etc. in and out of town;
* Conducts research, briefs the Mayor, and coordinates with others in the Mayor's Office to prepare all materials for the meetings, appearances, and events attended by the Mayor;
* Make sure the Mayor is prepared for press conferences, community events, and speaking engagements by reviewing, drafting, and/or providing verbal briefings;
* Assists the Mayor during meetings, community events, presentations and appearances, taking notes, documenting events and gathering information for comprehensive follow-up to ensure resolution of issues that arise coordinating daily with the lead scheduler and executive assistant;
* Interacts with City department heads in the coordination, planning and implementation of administrative activities, projects, and issues;
* Performs routine clerical work as required, including but not limited to typing forms, reports and correspondence, copying and filing documents, entering and retrieving computer data, sending and receiving faxes, assembling materials, etc.;
* Assist with the preparation of written materials, correspondence, memos, editorials and articles;
* Participates, as assigned, on various committees or associations;
* Receives and responds to inquiries, requests for assistance and complaints from the general public, ensuring compliance with Freedom of Information Act requirements;
* Assists with special projects and programs as assigned;
* Reroute and/or responds to telephone and email inquiries, complaints, and service requests from businesses, constituents, and citizens;
* Serves as liaison with city departments and outside agencies;
* Accompanies or represent the legislative body at various meetings and;
* Performs other related duties as assigned.
Qualifications
Minimum Requirements to Perform Work
* Bachelor's degree in business, public administration or related field
Knowledge, Skills, and Abilities
* Knowledge of addition and subtraction, multiplication and division, and/or calculating ratios, rates and percentages;
* Ability to summarize, tabulate or format data or information in accordance with a prescribed schema or plan to facilitate the identification and extraction of useful information;
* Attention to detail;
* Good interpersonal skills; Ability to navigate variety of situations with tact;
* Ability to research and compile administrative reports and documents and to analyze planning reports and statistical information;
* Efficiently operates a computer to access e-mail, electronic calendars, social media, and other basic office support software;
* Ability to deal with confidential materials and situations with discretion, tact and diplomacy;
* Ability to communicate effectively, both orally and in writing;
* Ability to establish and maintain effective working relationships with others.
